This privacy policy applies to the services of Qlean-tec BV. We are aware that you have faith in us. We therefore see it as our responsibility to protect your privacy. This page provides information about the personal data that we process from visitors to the website, commercial contacts, customers and business partners of Qlean-tec BV. We inform you about what information we collect, why we collect it and about the legal rights you have with regard to your personal information. Your personal data, our responsibility

We process personal data because you use our services or because you provide this data to us. This data is managed by our company. We process your personal data for the following purposes:

To be able to deliver goods or services to you;
To be able to call or e-mail you if this is necessary to be able to perform our services;
To inform you about changes to our services and products;
For handling payments;
For sending our newsletter;
To offer you the option of creating an account in our web shop.

The data is stored on secure servers of Qlean-tec BV or those of a third party in the Netherlands.

Commercial relation

The marketing and sales team of Qlean-tec strives for good relationships with (a) customer contacts and (b) contacts from organizations that are not (yet) customers. When building commercial relationships it is in most cases necessary that personal (contact) information is exchanged. For example during a marketing / sales activity or campaign, a meeting, during a trade show, exhibitions, symposia and through direct contacts by a Qlean-tec employee. The provision of personal data in this context is always only on a voluntary basis. Personal data that you have provided in this context is kept in our Relationship Management System and is deleted if it is no longer necessary, unless you have informed us that you wish to be kept informed of our solutions and activities and unless required by law.

Customer

Qlean-tec is only active on the B2B market. This means that our solutions, products and services are sold to organizations. If you buy our solutions, products and / or services directly from Qlean-tec, you are a customer. In this case, you will be registered as a customer in our relationship management system. This registration includes the personal contact details of one or more contact persons. We process the following personal data for this:

Your e-mail address and telephone number to keep in touch.
Your first and / or last name and position to have the correct reference.
Your gender, to be able to address you correctly.
Your company data to be able to deliver products and services and to process payments.
Other personal data that you actively provide.

This personal information will be stored:

As long as we are legally obliged to store the personal data.
In case of a judicial contention, administrative or arbitral proceeding, until a definite decision is given in the context of this proceeding, unless we are legally required to store the personal data for a longer period
In all other cases for a reasonable and proportionate period

As a supplier, business partner or other business relative

Qlean-tec maintains relationships with suppliers of raw materials, components, trade goods and also maintains relationships with business partners and other organizations (such as accountancy / payroll / IT service providers). For these relationships it is necessary to register the personal contact details of one or more contact persons. This personal information will be stored:

Request

In case you approach us with questions, for example about our solutions, products or services, we will register your personal data in order to answer your question. This includes questions via telephone, e-mail, fax and the contact and request forms on our website. We process the following personal data for this:

Your e-mail address to be able to answer your question.
Your first and last name to be able to properly address you when we answer your question.
Your company name to provide you with a more targeted service.
Other personal data that you actively provide.

This personal data is stored in our CMS (on Dutch servers under Dutch jurisdiction) and is sent by e-mail to the specific department that handles your request. All employees use authentication to log in. In addition to the data that you enter yourself, the time, the IP address and the relevant page are saved in order to provide more context for the form submission and give you a better answer.

Your data is stored in our CMS. The e-mail to the relevant department will be saved until your question has been fully answered. If you are a customer, your question will be linked to your account in our customer relation system.

Website visit

We collect usage statistics from every person who visits our website, including IP address (anonymous, only traceable to a geographical area and not to a specific person / connection), geographic location and visit statistics (including visit duration and page views). We use these statistics to improve our website, solutions or services.

News letter

Qlean-tec offers you the option to subscribe to our electronic newsletter. With this you give us permission to save the information provided. We will ask for an 'opt-in', which means that you explicitly give your permission to contact us via newsletters. You can unsubscribe from electronic newsletters at any time by clicking on the "unsubscribe" link that is mentioned in every newsletter. After you have unsubscribed from our newsletter, your personal information will be deleted from our records. We process the following personal data:

Your e-mail address to send you the newsletter.
Your first and last name to be able to address you properly.
Your industry and company name to provide you with a more targeted service.

If a newsletter is sent then statistics will be collected based on the e-mail address. Our newsletters are sent up to a maximum of 6 times a year to a specific area of interest. By keeping track of our statistics on e-mail address, we ensure that the content of the newsletter is in line with the interests of subscribers. This information will be saved until you log out.

Account web shop

Qlean-tec offers the possibility to place your orders online in our web shop. For this you create an account on our website. We process the following personal data for this:

Your e-mail address to log in, send confirmations and contact if necessary.
Your first and last name to be able to use the correct reference when ordering.
A telephone number to contact if necessary about the handling of your order.
Address details to be able to deliver goods.
Other personal data that you actively provide.

This personal data is stored in our CMS (on Dutch servers under Dutch jurisdiction) and is sent by e-mail to the specific department that processes your account in our customer relationship system and financial system. All employees use authentication to log in. Your data will be stored for up to 2 years after your last order date, but if required by law, data will be stored longer.

Right to access, correct and erase data

You have the right to access the personal data that we store. You can contact us via the contact details above. We will hand over the data to you digitally within 5 working days. To prevent abuse, we can ask you to identify yourself adequately.

In case the personal data that we store about you is incorrect, you have the right to request that we correct or erase the personal data. Send us a request via the contact details above. However, we keep documents (including electronic documents) that contain personal data:

to the extent that we are required by law;
if we believe that the documents may be relevant to current or future legal proceedings;
to establish, practice or defend our legal rights (including providing information to others for the purposes of fraud prevention and credit risk reduction).

Sharing personal data

We do not share personal information with third parties for commercial purposes. Qlean-tec does use third parties such as service providers and external hosting providers that store personal data that we manage. In case a third party processes personal data under our management, we will provide a data processor agreement as described in the GDPR.

Security of personal information

We have implemented appropriate technical and organizational measures to protect your personal data against accidental or unlawful destruction or accidental loss, alteration, unauthorized disclosure or access and against all other forms of unlawful processing. We also require our data processors to implement such appropriate technical and organizational measures. In the unlikely case of a (suspected) violation of personal data, we will notify you and the appropriate data protection authority within 72 hours, according to the rules set out in the AVG.
